JOB SUMMARY
To maximise all opportunities to reactively sell conferences| functions|
events and groups. To act as one point of contact between the client and the
hotel at all stages of the booking process from initial enquiry through co-
ordination and to completion. To communicate in an effective and timely manner
all the clients specific requirements to all relevant departments. To lead and
manage large scale events. To uphold the conditions of trading as laid down by
the Marriott and to ensure that the companies policies on legislation are
adhered to.
CANDIDATE PROFILE
Education and Experience
• High school diploma or GED; experienced (1 – 2 years of experience) in the
event management or related professional area.
OR
• 2-year degree from an accredited university in Hotel and Restaurant
Management| Hospitality| Business Administration| or related major; at least 1
year experience in the event management or related professional area required.
_ORGANISATION_
To ensure all SOP|s are implemented.
On being assigned a new booking| ensure that the client is called within the same working day| to verify what space is currently holding and if the client has any further details at this stage| before sending out the contract.
To ensure that every client is called within 48 hours of the initial contract being sent out to ensure it has been received.
To ensure that every client with a confirmed booking has a signed Contract incorporating Terms and Conditions detailing the agreement between the hotel and the client.
To liaise with the client on a timely basis in order to collect all relevant information to meet the client’s specific requirements.
To ensure all client’s requirements are booked both internally and externally e.g. bedrooms| restaurant and AV.
To ensure company policy on credit checking and payment procedures is adhered to.
At all times present and maintain high standards of communication| both written and verbal| to the client.
To Maintain and affective and organised filing on all confirmed bookings.

_COMMUNICATION_
To produce a detailed and accurate Banquet Event Order for each event.
To issue the Banquet Event Orders and summary on a weekly basis| as per company policy| to all relevant departments.
To ensure any queries| arising from the weekly Ops meeting are answered within 24 hours.
To effectively communicate| in a timely manner to all relevant departments any amendments or alterations to an event ensuring that the clients needs are always met and to avoid any potential loss of revenue.
To pass on relevant information to be communicated at the 10am meeting
To co-operate with the other departments to ensure a harmonious working environment & maximize efficiency.
To liaise with Conference & Banqueting to ensure that the rooms/equipment have the correct setup as per BEO.
To be confident in sharing and updating the London Sales Office with hotel strategy and rates.
To refer all bookings/enquiries we cannot accommodate| to the London Sales Office to ensure the business stays with Marriott hotels.
_SALES_
To conduct both planned and walk-in site visits| as necessary| in a professional manner| demonstrating full knowledge of the product and services| tailoring the benefits to meet the guest’s needs.
To have a sound knowledge and understanding of all hotel facilities e.g. meeting room capacities| menus| accommodation
To ensure all diary entries are up to date with booking status| event details| forecast figures & activities.
To establish and nurture a good relationship with regular bookers and high spend clients by entertaining FAM trips as required.
To proactively promote Marriott Rewards| Marriott Miles and Special Agents and process as necessary.
To pass possible sales leads to the Proactive Sales Team.
To be involved in incentives| exhibitions and other promotional events to draft in new business.
To have an understanding of meeting trends and event design
Handling all confirmed bookings to company standard| and upselling| in order to maximize business yield.
